Aim to have boxes in the building a week before the stand goes up. Behind that sits the 10 to 15 working day production window from artwork approval, transit, and whatever time your own sign-off takes. For a show in eight weeks you are comfortable; for a show in four you need the artwork settled today and no revisions after the proof.

What date should the boxes actually be in the building?

Seven days before build-up. That sounds generous until you count what happens in that week: kit gets checked against the packing list, sizes get allocated to named people, anything wrong gets flagged while there is still time to react, and the whole lot gets packed into the crate that goes to the venue. Kit that arrives the day before build-up removes every one of those opportunities.

Count the same way for a series of shows. If your season runs across several exhibitions, order for all of them at once. One order at a higher volume costs less per piece than three at the minimum, and it removes two reorder cycles from a calendar that is already full.

How many shirts does a three-day stand need?

Two per person per day is the realistic figure for a hall that is warm and a team that is standing and talking for eight hours. On a three-day show, with a build-up day in different kit, that is six garments each for anyone on the stand full time. It sounds excessive until the second morning, when nobody has access to a washing machine.

The fifty-piece minimum per design usually covers a stand team several times over, so the practical question is not whether you reach it but what else to put the remaining pieces toward. Office staff, a second show, or a reserve for damage all qualify. The uniforms range spans shirts, polos, aprons and outer layers, so the balance can go into a different garment on the same order as long as each design hits fifty on its own.

Which decoration reads from across an aisle?

Size and contrast, in that order. A wordmark across the upper back at full width reads from ten metres; a subtle left-chest mark does not, and on a stand the back view is what most passers-by get. Keep colour contrast high between garment and artwork. A tone-on-tone treatment photographs beautifully and disappears entirely under exhibition lighting, which is flat, bright and unflattering. If the brand colour has to be exact, that is worth raising at quote stage rather than at proof.

What do you do when a show is added late?

Simplify. A single design, one colour, one placement, on a garment already in the range moves through approval in a day and hits production immediately. Complexity is what costs time at short notice, not quantity. The opening rate is $20 a piece at fifty units, with up to 35% coming off as volume climbs through the tiers, so keeping the design count to one is also the cheaper route. Do not forget the people who are not on the stand. Sales staff travelling to the show, anyone running a side meeting in a hotel nearby, and whoever is on the stand only for the final afternoon all benefit from being in the same kit. They are easy to leave off a headcount because they are not on the stand plan, and they are the ones who look conspicuously unbranded in the photographs afterwards.
