For kit arriving in May or June, order in March or early April. Production is 10 to 15 working days from artwork approval, transit sits on top, and the events calendar gives you no flexibility at the far end because the date does not move. Ordering a clear month earlier than the arithmetic demands is the version of this that never goes wrong.
What is the order date for a May or June delivery?
Start from the load-in date rather than the event date, because crew are in uniform a day or two before the public arrives. Work back through distribution, transit and the production window, and then add the approval time your own organisation needs. For a first-time programme that total comfortably exceeds six weeks, which puts a June event firmly in an April order and a May event in March.
Events buyers often have several dates across one season. Order for the whole season in one go rather than per event. It is cheaper, because the volume lands in a higher tier, and it removes the risk of a mid-season reorder colliding with the events themselves.
Which layers does a summer crew actually need?
Three, in practice. A light polo or shirt for the day, an apron for catering and bar positions, and something with sleeves for the evening, because outdoor sites get cold once the sun drops. Colour choice carries more weight outdoors than indoors. Mid-tones hide dust and grass marks in a way that white and black both fail to. How do you keep light kit looking clean on day three?
By issuing more than one. On a multi-day event there is no laundry, so the honest solution is two or three garments per person and a bag for the used ones. That multiplies the count, which pushes you up the discount tiers: the bands run 50 to 99, 100 to 249, 250 to 499, 500 to 999 and 1,000 upward, with up to 35% off the fifty-piece rate at the top end.
Specify a fabric that recovers from creasing, since folded kit lives in a crate for the duration. A blend does this better than pure cotton. It is also worth keeping the artwork away from the underarm and the lower back, where it takes the most abrasion from lanyards, bags and folding chairs.
What does a season of event kit cost?
From $20 per piece at the fifty-piece floor, falling as the season total climbs. The fifty is per design and sizes mix freely inside it, so one polo design across an entire crew in every size is a single order. Two designs, even in the same colour, are two. Plan the end of the season as well as the start. Event kit comes back at the end of a run in varying states, and deciding in advance what gets kept, cleaned and stored versus written off stops the stockroom filling with garments nobody will issue again.
