Event towels are quoted per job, ordered in runs of 50 pieces per design and produced in 10 to 15 working days from artwork approval, plus delivery transit. For an event that is the only number that matters, because a towel that arrives the day after the gates close has no second use unless the artwork avoided naming a year.

What are event towels for — crew or merch?

Crew stock and merch stock are separate problems. Crew towels are used, abused and left behind, so they want the lightest of our gym, spa and hotel weights and a woven mark that survives being washed in bulk afterwards. Merch towels are bought by an attendee at a stall and taken home, so they want a heavier hand and printed artwork people actually want to own.

Festivals with a water feature, a swim leg or a heat problem sell towels far better than those without. Outside that, a towel competes with a tee at a similar price, and it wins only where the artwork is bold enough to work at towel scale. The weights are listed on our towels page.

How do you work back from one immovable date?

Take the gates-open date, subtract delivery transit, then subtract 10 to 15 working days of production, then subtract the time your own approvals take. The last part is what catches people out: artwork approval is the start of the production clock, and a design that is still being argued over internally has not started anything.

If you want a £150 sample first, credited against the bulk order, add its round trip at the front. A comfortable plan starts ten weeks out. A tight one starts five. Anything under four weeks is relying on delivery going perfectly, which is a poor bet when the stock is unusable if it is late.

How many towels does a festival stall need?

Start at the minimum unless you have sales history. 50 pieces per design is a small enough commitment to test a towel against the rest of your merch without leaving you with boxes to store until next year. If it sells through on day one, you have learned something worth knowing and the stall lost a few hours of sales.

The opposite mistake is more expensive. An over-ordered towel with a year printed on it becomes a write-off the moment the event ends, and the discount that tempted you into the larger run, up to 35% as quantity rises, does not offset unsold stock. What can go wrong in the last week?

Delivery to a site rather than an office is the usual failure. Festival sites have no address in the ordinary sense, restricted access windows and nobody available to sign. Ship to a warehouse, an office or a crew member home and move the boxes yourself on the build day.

The second failure is artwork that was approved for a tee and reused on a towel without checking the proportions. A towel is a different shape, and a design centred for a chest print can sit awkwardly on it. Pricing at the stall is the last decision and the one most often left to the morning of the event. A towel costs more per piece than a tee, and pricing it as though it does not will clear the stock by lunchtime at a loss. Set the price against the unit cost you actually paid, take card payments, and give whoever is running the stall one number rather than discretion to negotiate. A queue at a merch tent is no place to be working out margins.
