Bulk Towels for Cafes: A Buyer's Guide

Cafe towels are quoted per job, ordered at 50 pieces per design and produced in 10 to 15 working days from artwork approval. A coffee bar consumes cloths rather than keeping them: steam wands, milk spills and counter wipes get through a surprising number in a shift, so the order is sized by daily consumption rather than by the number of staff.
Which towels does a coffee bar get through?
Three kinds, all small. Steam wand cloths, which are used constantly and washed at high temperature. Counter and bar cloths, which take spills and grounds. And hand towels at the sink, which are the only ones a customer might see. Sizes above hand size are rarely useful behind a coffee counter.
Gym weight is the pick for all three, because it is the lightest of the gym, spa and hotel weights we supply and it dries between shifts. Do bar towels need branding at all?
For the cloths behind the machine, branding is about stock control rather than presentation. A woven mark keeps your cloths yours when a shared kitchen or a neighbouring unit is involved, and it costs less over the life of the towel than replacing stock that keeps disappearing.
The hand towels at the sink are different, because they are visible. If your counter is open and the sink is behind it, that towel is part of the room. How does a five-person team reach the minimum?
Easily, because cloths are consumed rather than assigned. A single-site cafe using a dozen cloths a day and laundering them daily needs a rotation of 30 to 40 before spares, so 50 pieces is roughly a starting stock rather than a year of supply.
Multi-site operators clear the tiers comfortably by ordering centrally on one design and splitting the delivery, and the discount reaches up to 35% as quantity rises across tiers of 50 to 99, 100 to 249, 250 to 499, 500 to 999 and 1,000 plus. Towels carry no date and no seasonality, so a large run held in a stockroom stays usable.
Sizes are mixed freely inside a single 50, which is the detail that makes this work for a small site. A cafe can put thirty small cloths and twenty hand towels into one run as long as the artwork and the branding method are the same on both, and end up with a starting stock that covers the machine, the counter and the sink without paying for two separate minimums.
How quickly can a cafe restock?
Production runs 10 to 15 working days from artwork approval, with delivery on top. A repeat using files already approved skips the drawing and the sign-off entirely, so the only variable is production capacity and transit. Order when you are at roughly a third of your stock rather than when you run out.

One practical note on laundry, because it decides the quantity. A cafe washing cloths on site is buying machine time as well as towels, and the lightest weight we supply is the one that fits a short hot cycle between shifts without holding water. Sites using an external contractor have the opposite constraint, a slower turnaround, and therefore need a deeper stock to cover the days their cloths are out of the building. Work out which of those you are before settling on a number.
