Place the order in July for kit that arrives in September. The build takes 10 to 15 working days once artwork is approved, and July and August are exactly when the people who have to approve it are away. Getting the specification agreed before the summer break, rather than after it, is what makes the September date comfortable instead of marginal.
Why does a July order land a September rollout?
Because the summer eats the calendar in a way no other season does. The production window itself is short and predictable. What is not predictable is how long a proof sits unopened while the person who has to sign it is on annual leave. A uniform programme approved on the last working day of July walks into production immediately and is boxed well before term. The same programme approved in the third week of August is fighting for the same fortnight as everyone else who left it late.
It also gives you a recovery window. If a colour comes back wrong on the proof, or the fit on a first sample is not right, July leaves room to fix it. There is no room to fix anything in the last week of August, which is the practical argument for moving early rather than an abstract one.
Who actually needs kit across a freshers programme?
More roles than the first list usually contains. Venue and bar staff, welcome team and campus guides, security, stewards, the shop counter, and anyone staffing a stand at the fair. They do not all need the same garment, but they usually do need the same identity, so the sensible structure is one polo design across the whole operation and different colours or layers to distinguish the teams. Each colourway that needs its own screens counts as a separate design against the fifty-piece minimum, so plan the split deliberately rather than by accident.

What does a freshers run cost per head?
Budget from $20 per garment when you are ordering fifty, and remember that most people on a welcome team need two, because the first one is in the wash. That doubles the count and pushes you up a tier, which works in your favour: the bands sit at 50 to 99, 100 to 249, 250 to 499, 500 to 999 and 1,000 plus, with up to 35% coming off the fifty-piece price by the time you reach the top.
Sizing is where a student-facing programme differs from a corporate one. You are ordering for a team you have not met, and a lot of them sign up in the last fortnight. Order a wider spread than a fixed office team would need and weight it toward the middle sizes. What has to be settled before the summer shutdown?
Four things: the garment, the colours, the artwork and the quantity. Get those signed and the rest is logistics. If the garment is new, order a sample in June; it is £150, credited against the bulk order, and the samples page covers what comes back. Leave the spare stock decision until last, because it is the easiest one to adjust upward and the one that saves you an entire second order in October.
Keep a record of the final specification somewhere that outlives the people who placed the order. Student-facing operations turn over staff faster than almost any other kind of employer, and the person repeating this next July is unlikely to be the person reading it now. Garment, colour references, artwork files and the size split, saved together, turn a six-week project into a one-week one the second time round.
