How many promotional keychains should you order?
Start from the people you will actually hand one to, not the attendance figure. If a show expects thousands of visitors but your team can realistically talk to a few hundred, order for the few hundred, plus staff and a reserve. The minimum is 50 per design, and an undated design can go to the next event, so one slightly larger run usually beats two small ones. Several events a year can share a single design.
When should you order keychains for an event?
Work back from the day the keychains must be at the venue:
