Promotional water bottles with your logo are made to order from 50 pieces per design and take 10 to 15 working days from artwork approval, plus freight. For an event, that means ordering about five to seven weeks before the date. The bottles are insulated steel, cold for 24 hours and hot for 12, so people carry them all day and keep them afterwards.
How far ahead should you order event bottles?
Count backwards from the date. Freight is quoted per destination, production is 10 to 15 working days from artwork approval, and proofing plus internal sign-off usually takes a week. Add a buffer, because delegate packs that arrive on the morning of the event make for a stressful morning.

How many bottles does an event need?
Order for the people who will use one, not the total headcount. A conference with 400 delegates might put a bottle in every delegate bag; a festival might give them to crew and volunteers and sell the rest at a stall. The minimum is 50 per design, and leftovers are far more useful a month later than a box of lanyards. Current finishes and caps are on the promotional water bottles range.
Put the event year on the bottle only if you are happy for leftover stock to be dated. A logo with no date can go to the following event or to staff; a dated one is a souvenir, and each new date is a new design.
Which bottle suits which event?
- Conferences and trade shows: a steel cap or carry-handle bottle in the delegate bag, logo on the front
- Festivals: a carry-handle bottle in a dark finish, for crew, volunteers and sale at a merch stall
- Charity runs and sports events: a flip-straw bottle for runners, in the charity's colour
- Launches and press days: a boxed bottle with a steel cap, as a gift rather than a giveaway

Do refill stations change the order?
They make a bottle far more useful. If the venue has refill points, a branded bottle becomes the thing people carry all day, and every refill puts the logo in front of the queue. Tell attendees in advance that bottles will be handed out, and mark the refill points on the event map. Without refill points a steel bottle is still kept, but it gets used after the event rather than during it.
Bottles or smaller giveaways?
A bottle costs more per piece than a keyring or a pen, so it suits smaller, higher-value audiences: speakers, VIPs, crew, exhibitors, the first few hundred through the door. For a very large crowd, a smaller item may be the way to cover everyone, and promotional keychains for events covers that end.
