Uniform deliveries arrive sorted by size, not by person, so the handover is a job in its own right. Collect sizes before you order using a real garment to measure against, decide whether you want the run bagged per name, and hold a small reserve back for new starters. Done in that order, a delivery of several hundred pieces is distributed in an afternoon.
Plan the handover as an event with a time and a place, not as a box left in the corner of an office. Kit that people collect at their own convenience gets collected slowly, goes missing, and generates a fortnight of queries about who has what. A scheduled half hour at the start of a shift, with a list and someone ticking names against it, gets a whole team kitted in one pass and leaves you an accurate record of what was issued. That record is exactly what you will want when the next run is being planned.
How do you collect sizes without chasing people for weeks?
Give people something to compare against instead of asking what size they are. A single sample garment passed around a shift, or a published chest measurement per size, turns a guess into a decision. Set a closing date on the form and tell the team that anyone who misses it gets assigned the middle size, which reliably produces a response rate no reminder email achieves.
Record the answers somewhere that survives the order. The same list gets used again when someone leaves, when a replacement is needed and when the next run is placed, and rebuilding it from scratch each time is what makes repeat orders feel harder than the first one.
Is bagging by name worth the extra step?
For anything over about fifty people, yes. Individual bagging is part of the private label options alongside woven neck labels, tear-out labels and swing tags, and it converts distribution from a sorting exercise into a handing-out exercise. For smaller teams it is often quicker to sort in-house, particularly where everyone works from one site.
If you do sort in-house, open one box first and check the pieces against the approved sample before touching the rest. Discovering a problem after two hundred bags have been made up is a different afternoon entirely.
How many spares should stay in the cupboard?
Enough to cover arrivals and accidents until the next run, weighted towards the sizes that fit the most people. Since the minimum is fifty per design and the size mix inside that is yours to set, spares cost nothing extra in order-minimum terms; they simply occupy units you were ordering anyway. Who owns the kit once it is issued?
Decide before handover, not after the first resignation. Write down how many pieces each person receives, whether the kit is returned when they leave, and what happens if it is lost. A single line on the issue sheet, signed at handover, prevents the awkward version of that conversation later. Build in a fitting window as well. Tell staff there is a fortnight to flag anything that does not fit, then handle those swaps in one batch from the reserve rather than one at a time across three months.
