A sample costs £150 and that amount is credited against the bulk order, so it is never given away but it stops being a real cost once you proceed. For a cafe it answers questions a specification cannot: whether the cloth stays opaque under service lighting, whether the logo survives a hot wash, and whether staff will actually want to wear it for a full shift.

What does a cafe t-shirt sample cost?

£150, credited back against the bulk order. Specify it as you intend to run it — the garment weight from the 150 to 240 GSM range, the actual garment colour, and the real decoration rather than a stand-in. A sample of a different colour tells you very little about how a light logo covers on a dark tee, which is usually the thing worth checking. What should the sample be tested against?

Not a checklist on a desk — an actual shift. That is the difference between a cafe sample and a retail one. Put it through the work and then through the wash you really use, at the temperature you really use, and look at it again.

  • Wash it hot at least three times and check the logo and the shape.
  • Hold it up to a light to see how opaque the cloth is on a pale colour.
  • Wear it through a full service to judge how it handles heat behind a machine.
  • Spill coffee on it deliberately and see what comes out.

Who should wear the sample first?

Somebody who works the busiest shifts, not the manager who ordered it. A shirt that feels fine for an hour of admin can be unbearable for six hours next to a steam wand, and the person who will tell you that honestly is the one doing the work. Is a sample worth it on a fifty-piece order?

On a first order, yes. Fifty shirts that nobody wants to wear is a far more expensive mistake than £150, and the credit means the sample costs nothing once you proceed. On a repeat order with an unchanged specification it is not needed at all. The moment it becomes worth taking again is when something changes — a new garment weight, a different fit, a redrawn logo or a switch of decoration method, which our decoration guide covers. What does the sample not tell you?

Fit across your whole team, for one. A single sample in one size confirms the cut and the cloth but not whether the size you chose for each person is right, so treat it as a garment test rather than a fitting session. If sizing is genuinely uncertain, the cheaper fix is asking staff what they wear in a shirt they already own.

It also will not tell you how the garment behaves after a year of hot washes. Three washes reveal shrinkage, colour loss and whether a print is going to crack early, but longevity is a judgement based on the cloth weight rather than something you can compress into a fortnight.

And it says nothing about colour consistency between dye lots, which only shows when a second run arrives alongside the first. Keeping the sample sealed as a reference is how you manage that later.
