Hoodies for Gyms: samples

A hoodie sample is £150 and it is credited against the bulk order, so on a real run it costs you a week or two rather than money. Samples are never free. For a gym committing to 50 pieces of staff kit that has to last two years, it is worth taking: it is the only way to judge fabric hand, true colour on fleece, the fit against the chart and how the decoration sits.
What should a gym actually check on the sample?
Put it on somebody and look at it on a gym floor, not on a desk. Check the sleeve length when arms are raised, because a hoodie that rides up on an instructor demonstrating an overhead press will annoy them for two years. Check the hood when it is down, since that is how it will spend most of its life. Check whether the pouch pocket gapes when the wearer bends. None of that is visible on a mockup.
Then check the technical points: print position measured from the shoulder seam, print size in millimetres against what you approved, colour against your Pantone reference in daylight, and the garment measurements against the size chart. Flex the fabric under the print; a properly cured screen print moves with it and returns. Write down what you find, because the sample becomes the reference the production run is measured against.
Should the sample be washed?
Yes, and this is the step most buyers skip. Wash it at 30 degrees inside out and line dry it, then measure it again and look at the print. That tells you what your staff kit will look like after a month of shift wear, which is the thing you are actually buying. For a gym, where garments go through the machine several times a week, a sample that has never been washed has only answered half the question.
It also settles the weight decision. A heavyweight fleece that takes two days to dry is a genuine problem for someone with two hoodies on a rota, and you will only discover that by drying one. If the sample comes back stiff or slow, drop a band before committing the full 50.
When can a gym skip the sample?
When the design has been run before and you still hold the previous garment, because that is a physical reference already. When the deadline genuinely cannot absorb one to two extra weeks, in which case approve a fabric swatch and a print strike-off instead, which answers the material and colour questions but not the fit one. And when the order is promotional stock being given away rather than kit that has to last, where the stakes are lower.
What a sample tells you that a render cannot is mostly physical: weight in the hand, drape on a body, the exact shade on brushed fleece, and how the decoration feels through the fabric. How does the sample fit into the overall cost?
It is cash out at the time and credited back against the bulk order when you go ahead, so budget it as timing rather than as an additional line. Hoodies start at $31 a piece at the 50-piece minimum, and against a full 50-piece run the sample is a rounding error once credited. Hold onto it afterwards: it becomes the size reference for collecting staff sizes, the piece you photograph for a member pre-order, and the physical standard a repeat order gets matched to. Order it early rather than late. A sample requested six weeks out fits comfortably alongside everything else; one requested three weeks out forces a choice between approving unseen and missing the date.
