A denim jacket order that has to be in hand for freshers week needs placing in July. Production runs 10 to 15 working days from artwork approval, transit follows, and the summer break puts two committee handovers and a holiday season in the middle of the approval stage. Why does a September arrival mean a July order?

The build itself is only three working weeks at worst. Everything else is what pushes the date back. A society committee changes over in the summer, the person who designed the artwork may have graduated, and the treasurer who signs off spending is often away for a fortnight in August. None of that is a production problem, but all of it lands before production can begin.

Order in July and you absorb every one of those gaps without touching the delivery date. Order in late August and the arithmetic stops working, because there is no slack left for a single re-approval. How do you size a run for students you have not met?

This is the hard part of any freshers order: you are buying for people who have not enrolled yet. Fifty pieces is the minimum per design and sizes mix freely inside it, so the whole decision is where those fifty sit on the size curve. Order a wider curve than feels natural, weight it towards the middle sizes, and choose a cut that tolerates being slightly wrong.

What does a freshers jacket cost per piece?

Custom denim jackets start at $38 a piece at the fifty-piece minimum, and the volume tiers run 50 to 99, 100 to 249, 250 to 499, 500 to 999 and 1,000 or more, reaching up to 35% off the fifty-piece price at the top band. Most societies sit in the first or second band, so the useful lever is not haggling on fabric, it is deciding whether two societies can share one design and order together.

Money is the other summer problem. Collecting payment from students before term starts is close to impossible, so most societies fund the order from the existing balance and recoup it at the freshers fair. Whoever approves that spend needs to understand that the jackets are bought before anybody has paid for them. Setting a realistic sale price at the same time as the order avoids the awkward moment where a committee discovers the maths only works if every single jacket sells.

Who signs off the artwork over the summer?

Decide this in June, in writing. One named person, with the artwork files in a format they can actually forward. Vector artwork or a high-resolution file with the fonts outlined saves a redraw, and a written note of the wash shade and the patch position stops the design drifting between emails.
