For caps in hand by May or June, order in March or early April. Production is 10 to 15 working days from artwork approval, transit sits behind it, and event kit has to arrive with time to count, split and load rather than on the morning of the first date. Spring feels early for a summer event, which is exactly why it works.

When should summer event caps be ordered?

Take the load-in date, not the event date, and subtract from there. Kit that arrives the day before an outdoor event is kit nobody has checked. Allow a fortnight of your own time at the front of the event for receiving, counting and deciding what goes in which van, then put production and transit in front of that.

Events also have a nasty habit of multiplying. A single festival becomes a run of three, and a cap ordered for one weekend gets used across a season. Which cap suits a crowd standing in the sun?

A cap at a summer event is doing a job, not just carrying a logo. People wear it because it keeps the sun off, which means peak length and ventilation matter. Trucker builds with a mesh back are the obvious answer for heat; five panel caps with a shorter peak suit a younger crowd; six panel dad caps are the safe middle ground that nobody refuses.

Fabric matters here more than at any other time of year. How many do you take to an event?

More than the minimum, almost always. Fifty pieces is the floor per design and sizes mix freely inside it, but fifty caps disappear across a weekend if they are being given to staff, volunteers and anyone who asks. Work out the staff count first, treat that as untouchable, and then decide how deep the sellable or giveaway stock goes on top.

The price bands reward going deeper. They run 50 to 99, 100 to 249, 250 to 499, 500 to 999 and 1,000-plus, and the top band takes up to 35% off the 50-piece price. Caps also store well and do not go out of fashion between June and August, so unsold stock from one weekend is opening stock for the next.

Can you reorder mid-season?

You can, but the timing rarely helps. A repeat run is another 10 to 15 working days from approval plus transit, which for a season running June to August means a sell-out at the first event is not replaced until the third. The artwork being already approved shortens the front of the process but not the build.

If you want to test a design before committing to the season, sample it in February or March. A sample is £150 and is credited against the bulk order; request one through the samples page while there is still time to change the peak, the closure or the thread colour.

They do mark faster, particularly around the sweatband and the peak edge. For multi-day outdoor use a mid tone is the practical compromise: it still reads as a summer colour but survives a weekend in a field.

That is two designs and therefore two runs of fifty. Many event organisers keep one design and separate the two uses by colourway, but a colourway with its own setup can also count as its own design, so confirm it on the quote.

For an outdoor event, often yes. They need no sizing, they get worn immediately because they serve a purpose in the sun, and one adjustable size covers almost everyone, which removes the size run guesswork entirely.
