Tracksuits for Societies: lead time

Production takes 10 to 15 working days from artwork approval, plus transit. For a society aiming at freshers week, that means the design has to be settled and sizes collected before term starts — which is the awkward part, because the members who will wear the kit have not arrived yet. Most societies solve it by ordering in two waves rather than one.
How early should a society order for freshers?
Six to eight weeks before the date you want to be wearing it, which for a September intake means work happening over the summer. The manufacturing window is fixed at 10 to 15 working days, and everything else in that six weeks is artwork, sizes and payment, all of which run slower in a committee than anybody expects.
The practical approach is to order returning members' kit over the summer and run a second order once freshers have signed up. That does mean two runs, each at the 50-set minimum, so it only works for societies of a certain size. What does the ten to fifteen day window actually cover?
Cutting the fabric, sewing the tops and joggers, applying every decoration position, fitting labels, and bagging and boxing the sets. It does not cover getting the design agreed, collecting sizes, or shipping. Those sit either side of it and they are where a society timeline actually lives or dies.

Which term dates cause the squeeze?
Three every year. Freshers week, because everyone wants kit before anyone has signed up. The run-up to a varsity or inter-society event, where a fixed date collides with a design nobody has finalised. And the end of the academic year, where leavers kit competes with exams for the committee's attention.
Each of those is predictable, which means each can be planned around a year in advance. Put the order date in the committee calendar rather than the event date, since the order date is the one that has to be met. How does a committee handover affect timing?
Badly, unless somebody writes things down. Handover usually happens in the summer, exactly when the freshers order should be moving, and the incoming committee inherits an event date with no artwork, no supplier contact and no size list. Weeks disappear into rediscovering what last year already knew.

A useful habit is to agree the design in the spring for the following autumn. Artwork is the slowest part of any student order and it is the part that can be finished while nobody is under pressure. With the files settled and the colour references written down, the autumn job shrinks to collecting sizes and taking payment, which a new committee can manage in a fortnight. Store the files somewhere the society owns rather than in a personal account, because the person who drew the crest graduates and the account goes with them.
