Production takes 10 to 15 working days from artwork approval, with transit on top. For a brand running a launch date, that means the realistic gap between committing to a drop and having stock in hand is around eight weeks once sampling, label production, photography and a buffer are counted. The production window is the most predictable part of that calendar, not the part that slips.

How long does a drop take to produce?

Ten to fifteen working days, measured from the point every file is approved — not from the first email. That includes decoration and private label finishing running together rather than in sequence. Get the specification settled early and the window behaves. How far ahead should a launch date be set?

Eight weeks is comfortable for a first drop and six for a repeat where the artwork and labels already exist. The blocks are roughly: one to two weeks settling artwork and spec, two to three weeks for a sample to be made and reviewed, two to three weeks for production, one week for transit, then a week for photography and listing before anything goes live.

Note what that last week implies. Product photography needs product, so if your launch content is shot on the real garment rather than a mockup, your stock deadline is a week earlier than your launch date. Brands routinely forget this and end up shooting on the floor the night before. If the drop is tied to a retail calendar, planning Black Friday as a small brand walks through the dates that stack up behind it.

Where do private label drops lose time?

Labels and tags, more often than the shirts. A woven neck label carries its own artwork, its own approval and its own production; if it is treated as an afterthought it becomes the thing everything else waits on. Settle the label design at the same time as the print file, not after it.

The other classic delay is the sample loop. A £150 sample credited against the order is the right call on a first run, but a brand that samples, changes the fit, samples again and then changes the cloth has spent a month before production has started. What does a realistic drop calendar look like?

  1. 1Week one: lock the garment, the fit, the colourways and the print file.
  2. 2Weeks two and three: sample made, reviewed on a body, approved or corrected once.
  3. 3Weeks four to six: production, 10 to 15 working days from that approval.
  4. 4Week seven: transit to the UK, the USA or Europe, and goods received.
  5. 5Week eight: photography, listings, and the drop goes live.

How do you protect the launch date when something slips?

Decide in advance which parts of the drop are negotiable. A colourway can be dropped from launch and added later without moving the date. A second design can be held back. What cannot move is the base garment or the label spec once production has started, so those are the decisions to make early and then leave alone.

It also helps to separate the announcement from the launch. Announcing a date before stock is in hand converts a production delay into a public one. Brands that announce once the boxes have landed keep the flexibility to slip quietly, and they get to use real product photography in the announcement rather than a mockup nobody quite believes. The cost of that discipline is a shorter run-up to launch day; the benefit is never having to explain a delay to an audience that was counting on a date.
