Order freshers polo shirts in July for a September arrival. Why does July matter more than August?
Because August is when the committee is scattered. A freshers order needs a design signed off, a colour agreed, a size list built and a payment authorised, and each of those steps involves a different person who may be out of the country. Starting in July does not make the production faster; it makes the human part of the timeline survivable.
Count it properly. Term starts in the last week of September, kit wants to be in hand a week before that for a welcome event, transit is a few days, production is up to fifteen working days from approval. That already lands in the last days of August before anyone has discussed a colour. July is not early, it is the correct month.

How do you build a size list for people who have not arrived?
You do not size for the freshers, you size for the team wearing the kit. Welcome crews, society committees and student ambassadors are known people with known sizes, so the list is buildable in an afternoon. Fifty pieces per design covers a sizeable crew, and sizes mix freely inside that fifty.
Where it gets harder is society kit sold to members during the first fortnight. That is a retail problem rather than a uniform one, and it wants a curve weighted towards the middle sizes with a slightly fatter tail than you expect, because student groups skew towards oversized wear. What design survives a whole academic year?
Leave the year off it. A polo marked with a specific intake is unwearable twelve months later and cannot be handed to next year's committee, which turns a fifty-piece order into an annual purchase whether you want one or not. A society crest with a role word on the back keeps working, and the role word can be embroidered or printed per batch.
Colour does more work than graphics at a freshers fair. A single saturated body colour with a contrast collar tip is visible across a hall in a way a detailed chest badge is not. Is a sample worth ordering for a student group?
For a first order with a new crest, yes, because nobody on the committee has seen the garment and everybody has an opinion.
