Your merch deadline is load-in, not day one, and for most venues that is the day before the doors open. Count back through 2-5 working days of tracked UK delivery and around 10-15 working days of production from artwork approval for screen printing and embroidery, nearer 15-20 for sublimation and complex jobs, with production starting at artwork approval rather than at order. Then build the plan around four separate headcounts, because delegates, speakers, crew and sponsors do not move at the same speed.

Four Headcounts, Not One

Delegate numbers move right up to the door, with walk-ups, late registrations and a predictable tail of no-shows. Speaker numbers are near-final early and change only through cancellation. Crew numbers you control completely. Sponsor numbers depend on contracts that are still being signed while you are trying to approve artwork.

Order each of those against its own confidence level. Crew kit can be ordered first and exactly. Speaker gifts can be ordered early with a small margin. Delegate items should be ordered to a conservative forecast, because unsold conference merch has no second life. Sponsor-branded items should not be ordered until the sponsor artwork is locked, which is where the next section comes in.

Put The Artwork Deadline In The Sponsorship Pack

This is the tip that saves conferences. Sponsors sign late, then send a logo in the wrong format a fortnight after that, and your fixed production window absorbs all of it. The answer is contractual rather than logistical: state in the sponsorship pack that logo files must be supplied in vector format by a named date to appear on printed merchandise, and that sponsors joining after that date receive digital and signage placements instead.

Sponsors accept this readily because it is a normal commercial term, and it converts an uncontrollable dependency into a published deadline. Set the date at least a week ahead of your own artwork approval date, so you have room to chase the two who will miss it anyway.

Crew Kit Is The Order That Actually Matters

A delegate tote is a nice touch. Crew who can be identified across a busy foyer in three seconds is an operational requirement. Split crew kit by role using garment colour, keeping the artwork identical so you are not paying for multiple setups: registration in one colour, technical crew in another, floor managers in something instantly visible, and speakers in something quietly different so delegates know who they are talking to. Print the role on the back in large lettering, which is more useful than any lanyard once the room is full.

That is honest, it creates a reason to arrive early, and it beats a stack of boxes going back into the van.

Garments And Methods That Suit An Event

Polos read as professional for registration and hospitality crew, and embroidery suits them well since it is durable and looks considered, provided fine detail and small text are simplified to stitch cleanly. Tees suit technical crew and volunteers, where screen printing gives the best value at volume with a setup cost per colour. If you are carrying several sponsor logos in full colour, DTF avoids per-colour setup entirely and works across cotton, blends and polyester. Sublimation is polyester only and light bases only, so keep it for all-over designs rather than general event kit.
