Conference and Corporate Event T-Shirts That Work
By The Velocity Wear Team
Conferences, trade shows, hackathons and company away days all use t-shirts. Some are for staff who need to be found. Some are gifts for attendees. Some are just for the team photo. Each has a different job, and planning for the job saves a lot of wasted cotton.
Staff and crew shirts
Staff shirts should be instantly recognisable: a bold colour different from attendees, and a clear word on the back like CREW, HELP or ASK ME. Different colours for roles, such as tech, registration and speakers' liaison, help at bigger events.
Attendee shirts
Attendee shirts get kept when they're good quality and well designed. A clever design related to the event's topic beats a sponsor-logo collage. Tech events and hackathons have a strong t-shirt culture; attendees wear good ones for years.
Sponsors
Sponsor logos on attendee shirts help fund the event, but too many ruin the design. A tidy sponsor panel on the back or sleeve keeps the front clean.
Sizing unknown attendees
Ask for shirt size at registration. It costs nothing and saves a lot of waste. If you can't, lean on M, L and XL in a relaxed unisex fit, and offer fitted options if your audience wants them.
Distribution
Hand out shirts at registration sorted by size, or give them as a reward for attending a session or visiting stands. Leftovers can be used for next year if you leave the date off.
Sustainability
The greenest event shirt is one that gets worn. Order to registration numbers, make the design worth keeping, and avoid printing the date if you might reuse stock.
Timing
Production takes 10 to 15 working days from artwork approval, plus delivery. Sponsors often confirm late, so set an artwork deadline at least five weeks before the event.
Mistakes to avoid
- 1Staff and attendee shirts in similar colours.
- 2A sponsor-logo collage on the front.
- 3Not asking sizes at registration.
- 4Waiting for a late sponsor and missing the deadline.
Quick checklist
- Staff colours distinct?
- Clear back text for crew?
- Sizes from registration?
- Sponsor panel tidy?
- Artwork deadline five weeks out?
Speaker gifts
Speakers appreciate something nicer than the attendee tee. An embroidered crewneck or quarter zip with the event name is a thoughtful thank-you. Order separately in smaller quantities alongside the main event order.
Hackathons and tech events
Hackathon shirts are a genuine part of tech culture. Attendees collect them. A clever design referencing the theme or a coding joke, printed on a soft heavyweight tee, will be worn for years. Include sponsor logos tastefully on the back.
Internal company conferences
Company conferences and kick-offs use apparel to reinforce the year's theme. Design around the message rather than the logo alone. Ship to the venue in advance, confirm the venue can receive and store deliveries, and hand out at registration.
Accessibility and inclusion
Offer a range of sizes, fitted and relaxed cuts, and consider a non-shirt option like a tote for attendees who don't want apparel. Asking at registration avoids waste and makes everyone feel considered.
Post-event use
Photos of attendees in event tees are great content for promoting next year's event. Encourage attendees to share photos with a hashtag, and use them in early-bird marketing.
Venue delivery
Confirm the venue will accept and store deliveries before the event, label boxes clearly with the event name, and assign someone to check the count on arrival.
