The production clock starts at artwork approval, not at order placement. Screen printing and embroidery typically run around 10–15 working days from approval, sublimation and complex jobs nearer 15–20, plus 2–5 working days tracked UK delivery — so delays in approving artwork extend your timeline rather than being absorbed by it.

The Distinction That Catches People Out

Buyers commonly assume that placing an order starts the clock. It does not. Nothing can be produced until the artwork is final and approved, so the period between placing an order and approving a proof is entirely additional to the quoted production time. A buyer who takes five days to review a proof has added five days to their delivery date, and that is usually where a late order originates.

What Actually Causes Delay

In roughly descending order of frequency.

  • Artwork that is not print-ready — low-resolution files, missing fonts, no colour references — requiring a round of correspondence before anything can proceed.
  • Sponsor and partner logos, which arrive late and often at insufficient quality. This is the single most common cause of delay on club and event orders.
  • Slow proof approval, particularly where the approver is unavailable or a committee needs to agree.
  • Late changes after approval, which reset the process rather than adjusting it.
  • Ordering during a seasonal peak, when the whole industry is under load and there is no spare capacity to absorb any of the above.

The Parts You Control

Almost all of that list is within the buyer's control, which is encouraging. Supplying vector artwork with Pantone references and a stated print size removes the first cause entirely. Collecting sponsor logos as the first task rather than the last removes the second. Nominating one person who can approve a proof without convening anyone removes the third. Those three habits eliminate most delays before they can occur.

Seasonal Load

Lead times are not uniform across the year. Before summer, before Christmas and before season starts, a large number of orders arrive simultaneously and the buffer that normally absorbs a small delay is not there. Ordering two to three months ahead of a seasonal peak is not just about having more time — it is about having time when there is capacity to use it.

Building a Realistic Timeline

Work backwards from your date. Add delivery of 2–5 working days, production of 10–15 or 15–20 working days depending on method, a realistic proofing allowance, and time to collect artwork and make design decisions before that. Then add contingency. If the resulting date has already passed, the honest answer is that the method or the deadline needs to change rather than that everything will simply go perfectly.
