Order freshers tracksuits in July for a September arrival. The build takes 10 to 15 working days from artwork approval, transit sits on top of it, and August is the month when nobody able to approve a proof is reachable. A July order puts the sets on campus a clear fortnight before the first week of term begins.

What does a July order look like on the calendar?

Place the order in the first half of July, approve artwork by the middle of the month, and production finishes in early August with transit behind it. The sets are boxed and waiting well before anybody returns. That sequence assumes the design and the size list already exist in July, which is the part that tends to slip.

If your committee hands over during the summer, do the ordering before the handover rather than after it. A new committee spending its first fortnight working out what a Pantone reference is will not have kit ready for September.

How do you size a run for a student intake?

You are sizing for people you have not met, so build the run on distribution rather than on a list. Weight it towards medium and large, keep a handful at each extreme, and remember that sizes mix freely inside the fifty. Tops and joggers are chosen independently as well, so a set can go out as an extra large top with a large bottom.

Fifty sets per design is the minimum, which for most societies is more than the committee and fewer than the membership. That is usually about right: enough to sell through freshers week and still have stock for people who join in October. Apparel sizing and fit covers how to build the split.

Design the kit for the year rather than for the week. A set carrying the society name and nothing dated keeps selling in October, at socials through the winter and again at the summer ball, while a design naming one freshers week is dead stock by the end of September. It also means the artwork is already approved when the next committee wants a reorder.

Who approves the artwork over the summer?

Name one person before term ends and put a personal email on the order rather than a society address nobody opens in August. The 10 to 15 working day clock starts at approval, so a proof left unread for a fortnight moves the delivery by a fortnight. That single decision causes more late freshers kit than anything inside production.

What if numbers are only confirmed in August?

Order anyway at the fifty-set minimum and treat the surplus as October stock. A society that waits for confirmed numbers ends up ordering in September for an October delivery, which misses the one week of the year when everybody buys kit at the same time.

Budget for the sets you will not shift immediately. A society holding ten spare sets in a cupboard has stock for late joiners and for replacements, which is a far better position than a committee with a waiting list and no route to a second run until November.

If you genuinely cannot commit, put the design on pre-order over the summer and use the responses as your size list. It is slower but it is honest, and planning your lead times with a buffer explains why the spare time matters more than the certainty does.
