Planning a Custom Merch Drop: Festivals, Bands & Brand Launches

By The Velocity Wear Team

A merch drop — for a festival, a band tour, a creator or a brand launch — is part product, part event. The ones that sell out are planned backwards from the date, with enough lead time to design, sample and produce without panic. Here is the playbook.

1. Work backwards from the date

Fix the launch or event date first, then count back through fulfilment, production, sampling and design. Custom production typically needs a couple of weeks plus shipping, so a comfortable runway is four to six weeks — more for large or complex runs.

2. Pick the right products

Lead with a hero product (usually a hoodie or tee) and add one or two complements — a cap, a tote, a second colourway. A tight, well-curated range outsells a sprawling one and is far easier to manage.

3. Design for the moment

Drop designs work when they feel special and a little scarce — tour dates, a one-time graphic, a location or event name. Keep artwork vector and design for the garment colour, and approve a mockup before production.

4. Size the run with a low MOQ

The hardest question is “how many?” A low minimum lets you produce a sensible first batch without over-committing, and pre-orders take the guesswork out entirely:

  • Open pre-orders to gauge real demand before you produce.
  • Use a low MOQ to test multiple designs and reprint the winners.
  • Keep some sizing buffer — the middle sizes always sell first.

5. Price for the occasion

Event and limited merch supports a premium price — fans are buying a memory, not just a garment. Price with enough margin to cover production, fulfilment and the inevitable few returns, and consider bundles to lift average order value.

Scarcity sells. A clearly limited drop with a deadline converts far better than an always-available product.

6. Plan fulfilment before you launch

Decide up front whether you are shipping pre-orders after the event, selling stock on the day, or both. Sort packaging, postage and a realistic dispatch date before you open sales, so the post-drop logistics do not undo the hype.

Velocity Wear helps creators, bands and brands produce drop-ready merch — premium hoodies, tees, caps and more — with a 20-piece minimum so you can test designs and reprint winners. Tell us your date and concept for a free quote and timeline.
